AIA 2024 Conference FAQ's

Q. Will there be Swag Bags?

A. Yes!

Q. How do I access on-demand sessions?

A. On-demand sessions will be available on the Conference App and on the Learning Management System (LMS) which is the AIA Classroom.

Q. Is the Cheekwood Botanical garden tour on Sunday, September 29, included in my tuition?

A. No, the cost is not included but because of generous sponsorship, the cost to you is only $50. This can be paid when you register or it can be paid for closer to the conference. Spaces are limited to 40 and will close when that number is reached.

Q. Is lunch provided on the Cheekwood Botanical tour?

A. No, however, the price for admission and transportation has been supplemented through our generous sponsor AROMAHEAD! Here is link to the cafe menu.

Q. Will there be continuing education credits (CEs)?

A. Yes, there will be continuing education offered for Aromatherapy. Plans are in progress to offer Nursing and Massage credits as applicable.

Q. Can I sign up for one or two days?

A. No. We are excited to be back in-person and have everyone experience the joy of connecting again for the full 3-day comprehensive line-up of world-renowned speakers!

Q. Is there a payment plan?

A. Yes! The AIA understands that costs are rising due to inflation everywhere. We are happy to announce that we can provide a payment plan for our members if needed. You can split your payment into three interest-free payments.

Payment plan for early, early bird registration: payments due at time of registration, February 28, 2024 and April 30, 2024.

Payment plan for early bird registration: payments due at time of registration, April 30, 2024 and June 30, 2024.

Payment plan for registration: payments due at time of registration, July 15, 2024 and August 15, 2024.

Please email the office manager at office@alliance-aromatherapists.org  or click on "INVOICE ME" when you register if you are interested.

Q. Is the conference a hybrid (in-person and live televised)

A. No, the conference is not designed as a hybrid. However, access to on-demand offerings will be available throughout the conference and recordings of the actual in-person event will be in the AIA Classroom post conference for all registrants.

Q. If I can’t travel to Nashville, what will I get?

A. For the price of the conference you will receive access to on-demand sessions, posters and case studies, and once the conference is over, recorded speaker presentations from the in-person event.

Q. What meals are included?

A. For the 3-day in-person conference, breakfast, lunch, and two breaks each day are included in the price of tuition.

Q. Will there be meals for those with dietary restrictions?

A. Yes. As we get closer to the conference, we will reach out to registrants about food restrictions/allergies.

Q. Are on-demand sessions included in my conference registration?

A. Yes.

Q. What is the Airport Code that I should use to book my flight?

A. BNA

Q. How do I get back and forth from the hotel to the airport?

A.  Sonesta Nashville Airport Shuttle Service: Complimentary; runs every half hour between 4:30 a.m. – 11:30 p.m., 7 minute trip to/from airport to hotel. Last shuttle departs the airport at 11:45 PM.

Q. What happens if I have to cancel?

A. If you have to cancel, you may receive a full refund until June 1, 2024. June 2, 2024 - August 31, 2024, you may receive a 50% refund. After September 1, 2024 no refunds will be issued for cancellation.

Q. Will there be book signings? If yes, can I bring my own book or do I have to buy a new one?

A. Yes. You can bring your own book or purchase one at the conference.

Q. How can I find out who might want to share a room?

A. We suggest you use our membership database or our social media (LOOK FOR THE PINNED POST) to communicate with each other about sharing rooms.

Q. If I purchase the conference but do not go to Nashville, will I still receive a swag bag?

A. No.

Q. If I am unable to attend the in-person conference, how much will it be to purchase access to on-demand sessions, posters and case studies, and recordings of in-person presentations?

A. There is an Online Recorded Access registration option.  Online Recorded Access Tuition includes access to on-demand recorded lectures during the live conference and unlimited access to the conference session recordings in the AIA Classroom, which will be made available post-conference.. You will still be able to watch the world-class presentations from the conference’s top speakers in the AIA Classroom. Additionally, PDFs from presentations will be available for download.

Q. Will there be T-Shirts?

A. Yes, when you register you will be asked about size. You will receive your t-shirt when you pick up your swag bag.

Q. Is the hotel handicap accessible?

A. Yes! Please reach out directly to the hotel about these accommodations.

Q. Is the hotel pet-friendly?

A. Yes! Please reach out directly to the hotel about these accommodations.

Q. How many Exhibitors are expected?

A. There is space for 40+ Exhibitors and interest is high!

Q. Are Continuing Education Credits available?

A. Yes, we are pleased to offer sessions that meet the requirements for CEU certification for both Aromatherapy and Nursing.  The Nursing CEUs are through ANCC. Attendees will receive all necessary information to obtain their credits at the conference.
